Product Privacy Policy
Last Updated: 10/29/2026
This policy explains how Software KC, LLC ("Software KC," "we," or "us") handles information in the software products we sell directly and the shared platform they run on. We collect what we need to run the products, and we don't sell your information.
Some products have their own supplement, published at /products/[product name]/privacy-policy and linked from inside the product. It describes anything that product collects beyond what's described here. Our website Privacy Policy covers this website, not the products.
1. Information We Collect
- Account information: your name, email address, and password if you create an account with us directly, plus your organization and role.
- Sign-in with Google or Microsoft: if you sign in with another account, that service shares basic profile details with us, typically your name, email address, and account identifier, so we can create and recognize your account.
- Connected accounts: if you choose to connect another service, we receive the information needed for the purpose shown when you connect. For example, Web Mason can connect to Google Search Console and Google Analytics to show your website's reports in its dashboard.
- Your data: the information you and your organization put into a product. Storing it for you is the point of the product.
- Subscription and billing information: your plan and billing history. Payment details are handled by our payment processor, currently Stripe.
- Technical information: IP address, browser, device, and error and activity logs, used to keep the platform secure and working.
- Support messages: anything you send us when you ask for help.
2. How We Use It
- To provide the products: sign you in, store and process your data, and run the features you use.
- To manage subscriptions and billing.
- To keep the platform secure, prevent abuse, and fix problems.
- To understand how the products are used as a whole, so we can improve them.
- To contact you about your account, service changes, and support requests.
- To comply with legal obligations.
We don't use your data for advertising, and we don't sell it.
3. Connected Accounts
A connection only happens when you choose it, using a clearly labeled button such as "Connect Google" or "Connect Microsoft." We ask only for the access needed for the purpose shown, use it only for that purpose, and you can disconnect at any time from within the product or your account with that service.
4. Cookies
The platform uses essential cookies to keep you signed in, remember your session, and protect your account. The products can't work without them, so they can't be turned off. We don't use advertising cookies.
5. Analytics
We measure how the products perform and which features people use, so we can improve speed, reliability, and the features themselves. We use Google Analytics and Microsoft Azure Application Insights, which monitors performance and errors on our servers. We look at this information in aggregate. We don't use it to build profiles of individual users or for advertising.
6. AI Features
Some products offer AI features, provided through Anthropic or through OpenAI models on Microsoft Azure. When you use one, the information needed for that request is sent to the AI provider named in the product's supplement, which returns a result to you. If you don't use AI features, nothing is shared with an AI provider. Each product's supplement explains what is shared and with whom.
7. Who We Share Information With
We don't sell or rent your information. We share it only:
- With service providers that help us run the platform, such as hosting, email delivery, payment processing (currently Stripe), and analytics (Google and Microsoft), only as needed to provide those services.
- With AI providers (Anthropic, or OpenAI through Microsoft Azure), only when you use an AI feature, as described above.
- With your organization's administrators, who can see the organization's data and manage its users.
- When the law requires it, such as in response to a valid legal request.
- If our business changes hands, in which case this policy continues to apply to your information.
8. How Long We Keep It
We keep your information while your account is active. After you close your account, we delete or anonymize it within a reasonable period, except where we need to keep it to meet legal obligations, resolve disputes, or enforce our agreements.
9. Security
We use established security practices, including secure sign-in and encrypted connections, to protect your information. No system is perfectly secure, and we'll notify you if a breach affects your information, as the law requires.
10. Your Choices and Rights
- You can view and update your account information in the product.
- You can disconnect connected accounts at any time.
- You can ask us for a copy of your information, or ask us to correct or delete it. Depending on where you live, you may have additional rights under local law.
- If your account belongs to an organization, some requests may need to go through its administrators.
11. Children's Privacy
Our products are not intended for anyone under 13, and we don't knowingly collect information from children under 13.
12. Changes to This Policy
We may update this policy. We'll post changes on this page, and for significant changes we'll notify you by email or in the product before they take effect.
