Process one run ticket by hand.
This is how Circle T Oil handled every ticket before we built their system: a filing cabinet, a calculator, a letter in the mail, and a lot of remembering. Try one ticket, and keep an eye on the tally.
1. A run ticket comes in
You're the bookkeeper. This ticket just arrived from the field. Everything else you need is somewhere in the office.
- Well
- Hadley No. 2
- Date
- March 14
- Gross volume
- 180.00 bbl
- Oil
- 97%
2. Find the well's file
One folder per well. Open a drawer and find Hadley No. 2.
3. Check the tax exemption
- Owner
- Dale Whitfield
- First purchaser
- Red Mesa Crude
- Tax exemption
- Type B
- Exemption expires
- February 28
The ticket is dated March 14. Does the exemption apply?
4. Find March's oil price
The price changes every month. It's written down somewhere. Probably on the note by the phone.
Jan $74.20
Feb $76.85
Mar $78.40
Which price goes on this ticket?
5. Do the math
Work out the net barrels and what they're worth. The calculator on your phone will do.
6. Write the invoice and mail it
Copy everything onto the purchase invoice by hand, then mail it to the owner to confirm.
7. The paperwork comes back
Confirmed, with one change: starting March 1, our first purchaser is Prairie Crude Marketing, not Red Mesa Crude.
— D. Whitfield
What needs updating in the well file?
8. Enter it in the accounting program and print the check
Everything gets typed in one more time, and the state's required reporting goes at the bottom of the check.
- Well and ticket
- Hadley No. 2, No. 4417
- Net barrels × price
- 174.60 × $78.40
- Gross value
- $13,688.64
- State production tax (sample 4%)
- $547.55
- Net paid
- $13,141.09
That was one ticket.
One well, one owner, one change in the mail. Now picture a month of tickets, some wells with several owners, and every detail living in a folder or in someone's memory.

Same well, same owner, same change in the mail. The difference is what the system remembers for you.
